Official e-mail
Be formal, polite, informative, specific, focused.
- If possible, use your official, edu.bme.hu e-mail address.
- Write only to the person who needs to deal with the issue– if you write to more than one person, do it in a single e-mail
- To: who needs to address the issue
- Cc: to be informed
- Bcc: exceptionally only
- Subject: A brief summary of the topic of the message.
- Body of the e-mail:
- Use title + family name if you know it for sure -> use the BME phonebook. Given name only if specifically requested! Make note how their e-mail is signed. Approaching as Professor is typically good if you write to a teacher. If someone is Dr, do not address as Mr/Ms/Mrs.
- Include all data needed to understand the situation (we are in contact with many students, if there were previous e-mails, reply to those). For example correct name of the course, its Neptun code, link to the site you are using about, all background information, etc.
- Always sign (name, Neptun code) -> If you wish to use your name slightly differently than the official, include both
- An answer can be expected in 3 working days. Take it into account when you reach out!
Being pushy–offensive is counterproductive. E-mails not following strictly the above will most probably not be answered.

Teams chat
Use it only for official business if it was specifically requested / allowed.
Do not try to discuss long, complicated issues in Teams chat. It is great for short questions, prompt answered, but not for complex issues.
If study related issue: include the correct name of the course. Do not forget to give your Neptun code too. If relevant give a link to what your question is about.
Teams group messages and mailing lists
As these are visible for all members, do not include your Neptun code, and do not discuss matters that are important only to you but not to others. Be always polite and positive.
